Job Functions & Responsibilities
- The Accounts Receivable / Administrative Assistant is responsible for supporting daily business operations with a strong focus on managing accounts receivable functions, maintaining accurate financial records, and providing administrative support to ensure smooth office operations. This role requires exceptional attention to detail, strong organizational skills, and the ability to communicate effectively with customers and internal teams.

- Accounts Receivable (Primary Focus – 70–80%)
- Generate, review, and distribute customer invoices in a timely and accurate manner.
- Monitor customer accounts for payment status, past-due balances, and credit limits.
- Process and apply customer payments (checks, ACH, credit card) to the correct accounts.
- Perform daily AR reconciliation and assist with month-end closing procedures.
- Follow up on outstanding invoices and conduct collections activities professionally.
- Prepare AR aging reports and provide weekly updates to management.
- Resolve billing discrepancies by coordinating with sales, operations, and customers.
- Maintain accurate and organized AR documentation and audit-ready records.
- Assist with setting up new customer accounts, including credit applications and tax documentation.

- Administrative Support (20–30%)
- Answer and direct incoming calls; provide customer assistance as needed.
- Maintain organized filing systems—digital and physical—for financial and administrative documents.
- Support office operations such as supply ordering, mail distribution, and scheduling.
- Assist management with document preparation, data entry, and general clerical tasks.
- Help coordinate internal communication and ensure smooth office workflow.
Qualifications
- 1+ years of experience in Accounts Receivable or similar accounting support role.
- Strong understanding of invoicing, payment posting, and collections best practices.
- Excellent written and verbal communication skills.
- High level of accuracy, attention to detail, and ability to prioritize tasks.
- Ability to handle confidential information with professionalism.
